Most firms in the $750K–$3.5M range have $40,000–$80,000 sitting in WIP and AR, and are underpricing two or three service lines without knowing it. These questions are how you find out where the money went.
The goal is a firm where every project is taken on with clear eyes — and where no engagement ends without you knowing exactly why it performed the way it did.
The path runs through your systems. When your accounting and finance infrastructure is best-in-class for a firm your size — not just accurate, but actively running — taxes come down, margins by service line become visible, and pricing decisions get made from real data instead of instinct.
That's the whole engagement: systems in place, information flowing, a firm that only takes on work that meets its profitability threshold — and that knows the cure when work falls short.
What is your fully-burdened field crew cost per hour — loaded with payroll taxes, benefits, equipment depreciation, and overhead — for each of your main service lines?
Of the last 10 jobs you closed, how many finished at or above the margin you bid? Which service line is your worst performer, by job?
Which of your service lines — boundary, topographic, ALTA, construction staking, civil design — is profitable after you load all the costs in? Which one would you stop taking if you could see the real margin?
What dollar amount is sitting in your WIP and AR right now — work you’ve completed but haven’t billed, or billed but haven’t collected — and how old is the oldest item?
How does your accounting data inform your project bid prices? When you miss your project margin expectations, do you know why?
If any of these stopped you, that's not a bookkeeping problem. It's a margin problem, and it's solvable.
Most owners price from experience and instinct. A reasonable starting point, but not a system. When your job-costing and accounting data feed directly into your pricing model, you stop taking on suboptimal work. And when a project misses, you know which variable caused it and what to do differently next time.
